Under Articles 13 and 14 of Regulation (EU) 2016/679 (GDPR).

What data we process

  • Contact details you enter in the form: name, phone, email.
  • Request details: chosen branch, service, preferred day and time slot, free-text note.
  • Item details (optional): make, model, year and up to three photos, each up to 5 MB.
  • Technical data used for site security and abuse prevention (IP address, used only to rate-limit requests).

Purposes and legal basis

  • Answering your request and booking an appointment — performance of a contract or pre-contractual steps (Art. 6(1)(b) GDPR).
  • Complying with legal obligations (invoicing, tax) — Art. 6(1)(c) GDPR.
  • Site security and prevention of abusive submissions — legitimate interest of the controller (Art. 6(1)(f) GDPR).

How we process it

Your request is emailed to the branch you chose, with a copy to amministrazione@keyok.it. Photos are not stored on our servers: they travel as attachments and remain in the mailbox. We do not profile you and we do not sell data to third parties for marketing.

How long we keep it

  • Enquiries that do not lead to a job: up to 12 months from the last exchange.
  • Data linked to work performed: as long as tax and accounting rules require (10 years).

Recipients

Authorised staff of the controller, our email and hosting providers. If you consent to statistics or maps, some data is processed by Google Ireland Ltd. as described in the cookie policy.

Data from social platforms (Meta Instagram/Facebook, TikTok)

We manage KeyOk's social profiles (Facebook Page, Instagram professional account, TikTok account) from an internal management system that connects to the official Meta and TikTok APIs after a KeyOk administrator has granted consent on the platform's authorisation screen. This data does not come from the website form. We process:

  • Meta (Facebook and Instagram): public profile and identifier of the linked account or Page, published content, comments, Page and profile insights, direct messages received on Messenger and Instagram with the sender's name or identifier, text and date.
  • TikTok: user identifier (open_id), profile name and status of published videos.
  • Access tokens issued by the platforms, used only for the authorised operations.

Purposes: publishing content, reading insights and replying to messages on KeyOk's profiles. Legal basis: performance of pre-contractual steps or of a contract for people who write to us (Art. 6(1)(b) GDPR) and the controller's legitimate interest in running its social presence (Art. 6(1)(f) GDPR). We do not profile, sell or transfer this data,.

Retention: direct messages for 12 months from the last exchange; insights only in aggregated form, without personal data, while useful. Tokens are deleted when access is revoked.

Recipients and transfers: Meta Platforms Ireland Ltd. and TikTok (TikTok Technology Limited, Ireland, and group companies) as API providers, and the hosting provider of the management system. Where data leaves the European Economic Area, the transfer relies on the standard contractual clauses approved by the European Commission.

Revocation and erasure: you can revoke KeyOk's access from your Facebook/Instagram settings (Settings → Business integrations) or TikTok settings (Settings and privacy → Security and permissions → App permissions), and request erasure of your data by following the data deletion instructions.

Your rights

You may request access, rectification, erasure, restriction and portability, and object to processing, by writing to amministrazione@keyok.it or to the PEC address keycentersrls@pec.it. You may also lodge a complaint with the Italian Data Protection Authority.
